What to Include When Requesting an Event Production Quote

A good quote starts with good information. You do not need every answer, but sharing what you know speeds things up and leads to a more accurate estimate.

The essentials

  • Event name and type (corporate, concert, wedding, festival, school, and so on)
  • Date, plus setup and load-in time if you know it
  • Venue name, address, and city
  • Expected attendance
  • Indoor, outdoor, or both

What you need

List the services you are considering: audio, video, lighting, a mobile LED screen, rentals, DJ or entertainment, or technical staff. If you are not sure, describe the experience you want and we will suggest options.

Schedule and program

Share the run of show or a rough outline: start and end times, number of speakers or performers, and any special moments. This helps scope crew and equipment.

Venue details

Mention power, rigging limits, loading access, noise rules, and whether the venue provides any equipment. If you have a venue contact, include them.

Budget

A rough range helps us recommend solutions that fit. If you are unsure, say so and we can discuss options at different levels.
