Pick the spot and the time
Choose a flat, open area with room for the screen, seating, and walkways. Check where sunset falls, since content looks best once it is dark enough. For a big game, plan around the start time and give people time to arrive and settle.
Sound matters as much as picture
A great screen with weak sound frustrates a crowd. Plan speakers to cover the whole seating area evenly, and tell your AV provider about neighbors, curfews, and any noise rules.
Ask about content rights
Public showings of movies and sports often require permission from the rights holder or a public-performance license, even when the event is free. Confirm what applies to your film or broadcast before you promote the event.
Plan the guest experience
- Seating: encourage lawn chairs and blankets, or arrange tables and chairs
- Lighting: safe, low-glare path lighting for walkways and restrooms
- Signage: tell people where to park and where the screen is
- Weather plan: a rain date or a decision-maker for delays
- Accessibility: clear paths and viewing areas for everyone
